How do I install MAILcolab?

MAILcolab is an official Outlook Add-in. Install it directly from Microsoft AppSource by searching for "MAILcolab". Click "Get it now" and follow the one-click installation. You must be signed into an active Microsoft 365 account.

What are the system requirements?

MAILcolab requires a current Microsoft 365 subscription and is compatible with Outlook Desktop (Windows/Mac) and Outlook on the web. An active internet connection is required for AI features.

How does the Gemini AI integration work?

When you use MAILcolab, your email content is securely sent to Google's Gemini AI for processing. Gemini analyzes the text and returns suggestions, summaries, or refined drafts. All transmissions are encrypted and no data is permanently stored.

Is my email data secure?

Yes. We use industry-standard encryption for all data transmission. Only the text you explicitly submit for processing is sent to the AI service. We do not store your emails, contacts, or any personal information.

How do I adjust the tone of a draft?

In compose mode, click "Check Tone" to analyze your draft. The add-in will show detected tone and provide one-click buttons to make it more professional, casual, friendly, etc. You can also use the tone dropdown in the refine tab.

What are dynamic templates?

Dynamic templates are smart snippets that automatically fill in details like [SENDER_NAME], [RECIPIENT_NAME], and [DATE+3D]. When you insert a template, these placeholders are replaced with actual information from your email context.

How do I check my daily usage?

Your daily usage is displayed at the top of the MAILcolab interface. A progress bar shows how many AI actions you've used today versus your plan limit. Warnings appear when you're approaching your limit.

Troubleshooting Guide

  • Issue: Add-in not loading in Outlook
    • Verify you have an active internet connection
    • Restart Outlook completely
    • Check that your Microsoft 365 license is active
    • Clear your browser cache (Outlook desktop uses embedded browser)
    • Try disabling and re-enabling the add-in from Outlook's add-in manager
  • Issue: AI generates irrelevant or poor responses
    • Be more specific in your instructions or prompts
    • Use the tone and length controls to guide the AI
    • For draft refinement, provide clearer source text
